Għaqda Festa Esterna Madonna Ta’ Lourdes San Ġwann ("we", "us", "the Organisation") is a voluntary organisation registered in Malta under Voluntary Organisation Registration Number VO/1980 (Malta Voluntary Organisations Act), with its registered office at Villa Bighi, Dawret Fra Giovanni Bichi, Il-Kalkara, Kalkara KKR 1320, Malta.

We are the data controller for personal data collected through the website madonnalourdesmalta.org and through our community activities. You may contact us at info@madonnalourdesmalta.org or on +35623602300.

Data you provide voluntarily through our contact, volunteering or sponsorship forms: your name, email address, telephone number, stated area of interest and the content of your message.

Data provided when you join as a member or volunteer: contact details, emergency contact where relevant, and records of participation in activities.

Data provided when you make a donation or sponsorship: name, contact details and the transaction reference required for our accounting records.

Basic technical data generated when you visit the website, such as the pages requested and general information required to deliver the site securely. We do not use advertising or profiling cookies.

To respond to your enquiry and communicate with you — legal basis: your consent, or the steps taken at your request.

To coordinate volunteering, membership and event participation — legal basis: consent and our legitimate interest in running the organisation's activities.

To record donations and sponsorships and to comply with accounting and statutory reporting obligations — legal basis: compliance with a legal obligation under Maltese law.

To safeguard participants at our activities, including minors and vulnerable adults — legal basis: legitimate interest and, where applicable, legal obligation.

Personal data submitted through the website is transmitted over an encrypted connection and received at our official organisational email address, info@madonnalourdesmalta.org. Access is restricted to committee officers who need it to perform their role.

Paper records, where they exist, are kept securely at our registered office. Officers are bound by our internal code of conduct and confidentiality expectations.

We keep personal data only as long as necessary: enquiry correspondence for up to 24 months, volunteer and membership records for the duration of involvement plus 24 months, and financial records for the period required by Maltese law.

We never sell personal data, and we do not share it with third parties for marketing purposes.

We disclose personal data only where strictly necessary: to competent Maltese authorities, including the Office of the Commissioner for Voluntary Organisations, where required by law; to our auditors or accountants in relation to financial records; and to service providers that host our email and website under contractual confidentiality obligations.

Where a service provider processes data outside the European Economic Area, we ensure appropriate safeguards recognised under the GDPR are in place.

You have the right of access to your personal data; the right to rectification of inaccurate data; the right to erasure; the right to restriction of processing; the right to data portability; and the right to object to processing based on legitimate interests.

Where processing is based on consent, you may withdraw that consent at any time without affecting the lawfulness of processing carried out beforehand.

Where activities involve participants under the age of 16, we collect data only with the consent of a parent or legal guardian, restrict its use to the safe running of the activity, and delete it once it is no longer required.
